Privacy notice

This notice explains what personal information this website collects, why, who we share it with, how long we keep it and what your rights are. We've kept it as short and clear as we can.

What this notice covers

This notice covers thedentalimplantpractice.com only. It does not cover:

  • Your dental records. If you become a patient, the practice's Data Privacy Notice explains how your dental records are kept. Our Practice Manager can give you a copy.
  • Referrals from dentists. Dentists refer patients using the practice's online referral form, which is run by Jotform and reached through cirencesterdentalpractice.com. Referral details are never sent through or stored on this website, and the practice's own privacy notice covers them.
  • Other websites we link to, including our practices' websites and Google. Each has its own privacy notice.

What we collect and why

When you send us an enquiry or ask for a consultation

We ask for your name, email address, phone number, which practice you'd prefer (Cirencester or Stow-on-the-Wold) and your message. We use these details only to reply to you and arrange an appointment.

The form doesn't ask about your health. Please don't include medical details in your message; we'll talk about those in person at your appointment. If you do include them, we'll use them only to answer your enquiry.

Lawful basis: taking steps at your request before you become a patient, and our legitimate interest in replying to people who contact us. If you include health information, we rely on the condition for the provision of health care.

When you book a place on a course

If you're a dental professional booking a course or study club through this website, we ask for your name, GDC number, email address, phone number, the name and address of your practice, and the course and date you'd like. We use these details to manage your booking, keep a record of attendance for your verifiable CPD, and contact you about the course. When you book, we may also add your name and email address to our mailing list for news of future courses. Every email has an unsubscribe link.

Lawful basis: to provide the course you've booked (a contract), and our legitimate interest in keeping attendance records for CPD and in telling you about similar courses.

When you sign up for course news

If you sign up to hear about our courses, we ask for your name and email address and use them to send you news of our courses and study club evenings by email. You can unsubscribe at any time with the link in every email.

Lawful basis: your consent.

When you email or phone us

We keep what you tell us so we can respond and keep a record of our conversation.

When you visit the website

Like most websites, our host's servers record technical information such as your IP address, browser type and the pages requested, to keep the website secure and working. This is our legitimate interest in running a safe website.

With your consent only, our own analytics cookies and Google Analytics remember how you found our website (for example a Google search, an advert or a link on another website), the first page you saw, how many times you have visited and which pages you looked at. If you then send us a form, or tap one of our phone numbers or email addresses, this is saved with it so we know which of our pages and adverts help people find us. Nothing is set unless you agree, and you can withdraw your consent at any time with Cookie settings at the bottom of every page: the cookies are then deleted. We also count taps on our phone numbers and email addresses (which one, and on which page) without identifying you. Google Analytics gives us totals, such as how many people visited and which pages they viewed; Google's advertising features are switched off. We do not use advertising cookies or session recording. See our cookie policy.

We also count visits with Fathom Analytics, which uses no cookies and doesn't identify you. It records the pages viewed, the website you came from, and your type of device and country, and shows us only totals. This is our legitimate interest in knowing how our website is used.

Some of our pages show Google Maps and Google Street View tours of our practices. They load only with your consent: if you allow functional cookies, or when you press a map's or tour's button. When one loads, your browser connects to Google, which receives your IP address and may set its own cookies. Google uses this information under its own privacy policy (opens in a new tab).

We don't sell your information. We only send you news about our courses if you've signed up for it or booked a course with us, and we never use enquiries about treatment for marketing.

Who we share it with

We share your information only with companies that help us run the website and handle your messages. They act on our instructions and must keep it secure:

  • Rocket.net, our website host, which stores the website and any form submissions on its servers in London.
  • Twilio SendGrid, which delivers the emails our website sends, such as form notifications to the practice and booking confirmations to course delegates.
  • Mailchimp (Intuit), which sends our course news by email, if you've signed up for it or booked a course.
  • Microsoft, whose Microsoft 365 service runs the practice's email, where your enquiry or booking is received.
  • Fathom Analytics (Canada), which counts visits to our website without cookies and without identifying you.
  • Google, which provides Google Analytics (only if you consent to analytics cookies), and whose Google Sheets holds our list of course bookings for the team that runs the courses.
  • Cloudflare, which provides our domain name service, and whose network our host uses to deliver the website and protect it from attacks.

If you show a Google map or Street View tour, your browser also sends information to Google directly, as explained above.

We may also share information if the law requires us to, for example with a regulator.

Transfers outside the UK

Some of these companies, such as Twilio SendGrid, Mailchimp and Google, are based in the United States or may process information there, and Fathom Analytics is based in Canada. Where this happens, the transfer is protected by safeguards recognised under UK law.

How long we keep it

  • Enquiries and consultation requests: for as long as we need them to reply to you and arrange your appointment. If you become a patient, your details become part of your dental record, which the practice keeps under its own Data Privacy Notice.
  • Course bookings: for as long as we need them to run the course and keep a record of your attendance for CPD.
  • Course news: until you unsubscribe.
  • Emails: for as long as we need them to deal with what you've asked, and to keep a record of our conversation.
  • Server logs: kept by our website host for a limited time, to keep the website secure.
  • Analytics cookies: our own up to 90 days after your last visit, Google Analytics' up to two years, or until you withdraw your consent. Google Analytics keeps its reports for 14 months. What they recorded about how you found us is kept with your enquiry, for as long as we keep the enquiry.
  • Google's cookies, if a map or tour has loaded: kept by Google, as its privacy policy explains.

When information is no longer needed, we delete it securely.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to limit how we use it, or object to us using it;
  • ask for information you gave us to be passed to you or to another organisation in a common format;
  • withdraw your consent at any time, where we rely on it (for example, analytics and functional cookies).

To use any of these rights, email reception@cirencesterdentalpractice.com or write to us at the address above. We'll reply within one month. There's normally no charge. Some rights depend on our reason for using your information, and we'll explain if one doesn't apply.

Keeping your information safe

The website uses a secure (HTTPS) connection, form entries are kept in a password-protected system that only authorised staff can open, and our suppliers must protect your information too. No website can be completely secure, so please don't send us anything highly sensitive through the website.

Complaints

If you're unhappy with how we've handled your information, please tell us first and we'll try to put it right.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection:

For a complaint about your dental care, see making a complaint.

Changes to this notice

We'll update this notice if the way we use personal information changes. The date at the top shows when it was last updated.
